Moving crew scheduling for small movers

A moving crew is not a shift. It is a foreman, a driver who can legally drive the truck, and enough hands for the job, all at one address at one time. This is a practical way to schedule that for a small company, and how WarleyHub handles it.

Crew the move, not the day

Start from the move, not from who is free. The move size and the access at both ends (stairs, elevators, long carries) decide how many movers it needs and whether it needs a specialist, such as for a piano. Then fill the roles: a foreman who owns the job, a driver licensed for the truck, and movers or packers.

Write the roles on the move itself, so everyone on it sees the same address, start time and scope.

Check driver paperwork before you schedule, not on the day

Whether a driver needs a CDL or a DOT medical card depends on the truck and the kind of move, and the rules come from FMCSA and your state, not from us. Check them at fmcsa.dot.gov.

Whatever applies to your drivers, the scheduling rule is the same: know every expiry date in advance, and never put a driver on a truck they are not currently qualified to drive.

    Leave room between moves

    • Moves overrun. Leave a gap between a crew’s first and second move, bigger when the first is across town.
    • Don’t put a two-move crew on a job with an uncertain end, like a long-distance load.
    • Confirm the next day’s crews the evening before, and send each mover their start time and address.

    When a mover doesn’t show

Keep a standby list of movers who have said they will take a short-notice call, and call them first. If the move is short a person, tell the customer before the truck arrives, not after, and agree how that changes the time.

    How WarleyHub schedules moving crews

    • Create the move, then crew it in Dispatch.
    • Movers carry their roles: mover, CDL driver, packer, foreman, piano specialist or dispatcher.
    • CDL certification, DOT medical cards, driver’s licenses, drug screening and background checks are recorded per mover with expiry dates, and expiry alerts go out before they lapse.
    • When a move requires a credential, matching only puts forward movers who hold it verified and unexpired.
    • Once a mover accepts the job, they get a reminder 15 minutes before the start time.
    • The crew clocks in at the job site from their phone, and those hours feed the invoice.
    • Your customers log in on your branded subdomain to see their move and the crew assigned to it.

    Questions people ask

How many movers do I need for a move?
It depends on the volume and the access at both ends. Set it per move from your estimate, and add a person for stairs or long carries rather than asking a smaller crew to work longer.
Can I see which drivers’ DOT medical cards expire soon?
In WarleyHub each mover’s credentials carry expiry dates and expiry alerts go out before they lapse. Check FMCSA for which of your drivers need the card.
Can movers clock in from their phones?
Yes. In WarleyHub the crew clocks in and out at the job site from a phone, and the location is checked against the site.
